Senior administrative and project support to CTO, and Office of the Chief Technology Executive Team

Complete Description:
Able to support project functions, including data entry, plan tracking, and basic task assignments.  Under supervision of the CTO or other Deputy CTOs, oversees and manages office procedures and other tasks as assigned by the CTO and Executive Team

Required / Desired Skills
Exp.in analyzing, prioritizing & distributing incoming memos, docs (Required 8 Years)
Exp. in open, sort, & distribute incoming correspondence, inc. fax & email (Highly desired 3 Years)
Exp. in preparing responses to correspondence containing routine inquiries (Required 5 Years)
Exp. in setting up agendas & arrange for committee, board, and other mtgs (Required 5 Years)
Coordinate travel arrangements for CTO and executive team (Highly desired 3 Years)
Exp. in research, compile data & prepare papers for review/use by proj. mgr (Required 5 Years)
Exp. in compiling, transcribing, and distributing minutes of meetings (Required 5 Years)
Exp. coordinating & direct all office services (records, budget prep, etc.) (Required 5 Years)
Exp. in meeting with individuals, groups, others on behalf of proj. manager (Required 5 Years)
Exp. in management and updating executives’ schedules (Required 8 Years)
Prepare invoices, reports, memos, letters, financial statements & other doc (Highly desired 8 Years)
Set up & oversee Project policies and procedures for office &/or program (Highly desired 4 Years)
Exp. reviewing practices & procedures to improve workflow/reporting/expenses (Highly desired 4 Years)
Microsoft Office skills – Word, Excel, Access, PowerPoint (Required 4 Years)
Support staff in project based work (special assignments, etc.) (Required 3 Years)

Certification and Screening Criteria
Bachelor’s degree or equivalent experience is required.
If selected for an interview, a sample writing test may be performed at the interview.
